Nominations

Nominations are sought for Executive posts and for Annual IRMS Awards.

Annual IRMS Awards

Nominations are invited for the following awards:

  • Information and Records Manager of the Year
  • Information and Records Management Team of the Year
  • Lifetime Achievement Award

All nominations must be submitted by a proposer and a seconder by email to: info@irms.org.uk along with a statement to support the nomination. Those nominated for any of these awards must be members of the IRMS.

IRMS New Professionals' Award

Also, those in their first 3 years working and/or studying in the profession are invited to submit an entry for the New Professionals' Award. Full details.

Election for positions on IRMS Executive Committee

The following on the Executive Committee are open for election in 2012.

  • Chair
  • Vice Chair
  • Treasurer
  • Directors (x3)

The current occupants of these positions and their intentions along with the positions' durations are detailed below:

Responsibilities, skills and requirements of Positions

Chair

"The Chair shall be the presiding officer at all meetings of the Society and shall serve as Chair of the Executive Committee. The Chair shall submit a report on the activities of the Society during the previous year to the Annual General Meeting." - IRMS Constitution

Responsibilities

  • Sets the Agenda
  • Sets and upholds the IRMS strategy
  • Leads the IRMS Executive Committee
  • Leads IRMS strategic communication to membership and stakeholders
  • Represents the IRMS externally
  • Is one of three signatories of IRMS bank account(s)
  • Chairs the Executive Committee meetings
  • Chairs the Annual General Meeting
  • Chairs the Annual Conference
  • Submits a column for each issue of the Bulletin

Skills

  • Has good grasp of rules and etiquette of meetings - effective Chair skills
  • Has a good 'presence' and confident manner

Requirements

  • Is an active records management professional who has earned the respect of his/her peers
  • Chair Is elected to the Executive Committee for one year by the membership
  • Expected minimum cumulative time commitment per year: 15 days

Vice Chair

"The Vice-Chair shall assume the duties of the Chair in the case of vacancy in that office from any cause, and in case of absence or disability of the Chair." - IRMS Constitution

Responsibilities

  • Is the deputy to the Chair, stands in for the Chair, as appropriate
  • Is one of three signatories of IRMS bank account(s) (and signs on behalf of the Chair should the Chair not be available)
  • Primary link between Exec and Groups
  • Represents the IRMS externally

Skills

  • Has a good grasp of rules and etiquette of meetings - effective Chair skills
  • Is able to substitute for Chairperson with minimum loss of continuity

Requirements

  • Vice Chair Is elected to the Executive Committee for one year by membership
  • Expected minimum cumulative time commitment per year: 12 days

Treasurer

"The Executive Treasurer shall receive all subscriptions and other funds of the Society, and shall disburse them under the direction of the Executive Committee. The Executive Treasurer shall keep accounts of all such transactions and present them to the Accountants of the Society. The Executive Treasurer shall submit a report and audited accounts covering the receipts and disbursements during the previous financial year of the Society, and a balance sheet showing the financial status of the Society, to the Annual General Meeting" - IRMS Constitution

Responsibilities

  • Maintains the Society accounts
  • Secures financial strength for the Society
  • Raises invoices for membership and other events, receive funds, maintains bank a/c, account for VAT.
  • Maintains and builds up financial reserves for the Society
  • Maintains full accounting records.
  • Provides Treasurer’s reports to the Executive Committee and the membership at the AGM
  • Is one of three signatories of IRMS bank account(s)
  • Liaises with auditor and solicitor with due regard to due diligence and compliance with IRMS Constitution

Skills

  • Has accounting, good communication and team work skills

Requirements

  • Treasurer Is elected to the Executive Committee for two years by membership
  • Expected minimum cumulative time commitment per year: 10 days

All Executive Committee Members

Responsibilities

  • Attends Executive Committee meetings
  • Submits a report on activities to each Executive Committee Meeting
  • Attends the Annual General Meeting
  • Submits an report on activities over the year for inclusion in the IRMS Annual Report and Accounts
  • Is encouraged to accept invitations to represent IRMS at professional events or as a speaker to these events
  • Is encouraged to submit at least one article per year for the Bulletin
  • Provides input in the decision making process of the Executive Committee strategy

Skills

  • Has good communication and teamwork skills
  • Is a proactive ambassador for the IRMS
  • Encourages less experienced members to voice their opinions
  • Provides a role model for future committee members
  • Provides a link between the committee and members (represents member views to the committee and vice versa)

Requirements

  • Is an active records management professional
  • Membership of IRMS
